Delete your EHO App account
You can ask us to delete your EHO App sign-in, or, if you own the venue, the whole venue and its records. This page explains how to ask, what we delete, what we keep and how long it takes.
How to ask
Email hello@ehoapp.com with the subject Delete my account.
Email a deletion requestSend it from the email address you sign in with, if you can. Tell us:
- the venue name
- the email address or mobile number you sign in with
- whether you want to delete only your own sign-in, or the whole venue (venue owners only)
Never send us your password or PIN.
In the app, Account → Request account deletion opens this page. The link is also on the staff list and on the setup screens. You do not need to be signed in to ask.
Before we delete anything, we check the request really comes from you, for example by replying to your sign-in email address. We may ask the venue owner to confirm a request to delete a venue.
Who can delete what
- Venue owner: you can ask us to delete the whole venue, including every staff sign-in and all of the venue's records.
- Manager or staff member: you can ask us to delete your own sign-in. The venue's food safety records belong to the venue, so your name stays on the checks you recorded while the venue uses EHO App. If you also want your name changed or removed from those records, say so and we will pass your request to the venue owner, who decides.
What we delete
When a venue is deleted:
- the owner's and every staff member's sign-in (email addresses, mobile numbers and PINs)
- the venue's details, staff list and settings
- all compliance records, including checks, temperatures, corrective actions, illness and exclusion records, checklists, written safe methods and voice-note transcripts
- uploaded photos, documents and training certificates
- notification and SMS reminder settings, including the device tokens and phone numbers they use
When only your own sign-in is deleted: your sign-in account, your PIN, your mobile number for reminders and your device notification tokens. You will no longer be able to sign in to that venue.
What we keep, and why
| What | Why | How long |
|---|---|---|
| Billing records: plan, dates, amounts and payment references (no bank or card numbers) | UK tax law requires us to keep them | 6 years |
| Your deletion request and our reply | To show we did what you asked | 6 years |
| Copies in our encrypted backups | Only to recover from a disaster, never to bring back a deleted account | Up to 90 days, then the backups expire |
| Your name on a venue's past records, when only your own sign-in is deleted | The records belong to the venue (see above) | As long as the venue keeps its records |
We cannot delete copies held outside EHO App. PDFs or spreadsheets that were downloaded or emailed stay with whoever has them. Google Play and GoCardless keep their own payment records under their own privacy policies.
How long it takes
We confirm we have your request, then delete the data within 30 days of checking it is you. We email you when it is done. Deletion cannot be undone.
Before you ask
- Deleting does not cancel a subscription. If you pay through Google Play, cancel in the Play Store app: Profile → Payments & subscriptions → Subscriptions. If you pay by Direct Debit, cancel in EHO App under Manager Area → Subscription, or ask us in the same email.
- Keep a copy of your records if you need them. Food businesses may need to show past records to an inspector. Export them from Records in the app before you ask us to delete the venue.
More detail is in our Privacy Policy. Questions: hello@ehoapp.com.
